Process Workflow Documentation

We are all aware of the need to know the current state of things before starting to make changes. Complex operations, like the provision of health care, are actually a series of inter-related processes, each comprised of sequential and interdependent tasks. It is often hard for management to realize what is actually happening without a detailed picture of the state of the work processes.

Flows IconThe most effective method for analyzing these processes is to represent them graphically as flowcharts. The flowchart, like an “aerial photograph”, makes all of the elements and interlinking paths visible in a single view. It can be used to analyze the sequence of activities and decision points that occur in a particular, discrete process, such as registering a patient in a clinic. By defining a beginning and end point for the process and analyzing each link in the process, managers can identify problem areas and potential improvements in order to reach the desired outcome.

Often we have found that management has no idea how much paper is being handled or how much time is wasted just getting the job done. Everybody can benefit by a fresh look at the business operation. HCIC has developed a technique that makes the creation of process flowcharts fast, accurate and graphically effective. The technique requires two specialists:

  • A Process Analyst, who identifies the task elements in the process, defines the task descriptions and their sequential relationships
  • A Flowchart Developer, who converts the template data into symbolic artwork, following a specified design protocol

Each of these efforts requires specific and diverse skills. The Process Analyst is a person who is generically familiar with the operations to be analyzed, and can thus accurately and concisely describe the tasks and interactions of the systems and staff performing the processes. The Flowchart Developer is a person skilled in the use of the graphics software and capable of designing clear and accurate artwork, following predetermined flowchart standards

The efficiency created by this skilled-team approach makes the delivery of this essential analysis tool both effective and financially attractive.
