Situation at Texas Home Health:

Friedman Fleisher & Lowe (FFL), a venture capital firm, bought Texas Home Health (THH) in late 2005 and created THH Acquisitions Corporation (THHAC). THHAC selected Cerner’s BeyondNow system to deploy in their 30+ Texas locations. The goal was to complete the rollout in all locations in 2006. FFL sought a project manager to plan and manage the rollout of back office and field documentation at the same time. HCIC provided a project manager to work on site with the agency system build and rollout and a project advisor to work with the executive steering committee on managing the issues and staying on track.

Solution in 2006:

  • HCIC worked with Cerner and THH to develop the work plan to rollout back office operations and field documentation to 30+ locations for home care and hospice.
  • HCIC updated and managed the work plan on a weekly basis for review at the executive steering committee.
  • HCIC identified issues, solutions and new strategies to stay on schedule, including a pilot implementation before release to additional locations.
  • HCIC developed a Web-based user survey to baseline satisfaction with the legacy system and assess effectiveness of user training on the new system.
  • HCIC established a productivity standard and model and developed a tracking tool to monitor ongoing productivity, user training and status of transition of each care provider.
  • HCIC designed an agency-wide communication plan for change management directed at the middle managers.
  • HCIC facilitated the development of the “gold standard” business process practices during the pilot for all locations.
  • HCIC and THH are on track and on plan; all Texas offices will be live after Thanksgiving 2006; we started the project in February 2006.
